Privacy Policy
NegotiAuto, operated by Appitect Mobile Developments Inc. ("we", "us"), respects your privacy. This policy explains what personal information we collect, why we collect it, how we use and share it, and the choices you have. We handle personal information in line with Canada's Personal Information Protection and Electronic Documents Act (PIPEDA).
1. Information we collect
- Contact form. When you send us a message through our website, we collect your name, email address, phone number (optional), and the content of your message. The form is processed by our form provider, Web3Forms, which delivers your message to us by email.
- Payments. Payments are processed by Stripe. Stripe collects your card and billing details directly. NegotiAuto never sees or stores your full card number. We receive limited information from Stripe, such as your name, email address, the amount paid, and the payment status.
- Intake form. After you sign up, we ask about the vehicle you want, such as make, model, trim, colour, options, budget, timing, preferred location or dealers, and trade-in or financing details, along with your contact information.
- Communications. Emails, calls, and messages you exchange with us while we work on your deal, including dealer quotes you share with us.
2. Why we collect it
- To answer your questions and communicate with you.
- To provide our negotiation service: requesting quotes, comparing offers, and negotiating with dealers on your behalf.
- To process payments and refunds, including assessing money-back guarantee requests.
- To keep business, tax, and accounting records as required by law.
We only collect what we need for these purposes, and we will not use your information for a new purpose without asking you first.
3. Consent
By submitting a form, making a payment, or completing our intake form, you consent to us collecting and using your information as described here. You can withdraw your consent at any time by contacting us, subject to legal or contractual limits. If you withdraw consent, we may not be able to continue providing our service.
4. How we share information
- Dealers. To get quotes, we share your vehicle preferences with dealers. We share your name, email, phone number, or other contact details with a dealer only with your consent, typically once you've chosen an offer and want to complete the purchase.
- Service providers. We use trusted providers to run our business: Stripe (payments), Web3Forms (website contact form), Cloudflare (website hosting), and our email provider. They receive only the information needed to perform their services.
- Legal requirements. We may disclose information where required or permitted by law.
We do not sell your personal information, and we do not receive commissions or referral fees from dealers.
Some of our service providers may store or process information outside Canada (for example, in the United States), where it may be subject to the laws of that country.
5. How long we keep it
We keep personal information only as long as needed for the purposes above. Client records, including payment and transaction records, are kept for 7 years after your deal is complete to meet Canadian tax and accounting requirements. Contact form messages from people who don't become clients are deleted after 2 years. After that, we securely delete or anonymize it.
6. How we protect it
We use reasonable safeguards, including password-protected accounts and access limited to the people working on your deal, to protect your information against loss, theft, and unauthorized access.
7. Your rights
You can ask to access the personal information we hold about you, ask us to correct anything that's inaccurate or incomplete, or ask questions about how it's handled. We'll respond within 30 days. If you're not satisfied with our response, you can contact the Office of the Privacy Commissioner of Canada at priv.gc.ca.
8. Cookies and analytics
Our website does not currently use advertising or analytics cookies. Stripe may use cookies on its checkout pages to process payments securely and prevent fraud. If we add analytics in the future, we'll update this policy.
